Native Meeting [BETA] Update: Personal Room, Instant Meetings & More

What is it and why you need it


EzyCourse Native Meeting [BETA] has been enhanced to make hosting meetings quicker and more convenient.


With Personal Meeting Rooms, Instant Meetings, and Meeting Drafts, you can launch meetings faster, simplify participant management, and reduce repetitive setup work.




How it works


1. Personal Meeting Room


You now use your dedicated Personal Meeting Room with a permanent URL. Unlike scheduled meetings, you don't need to generate a new link every time you want to meet with participants. 


Simply share your Personal Room link, and participants can use it to join. Personal Meeting Rooms currently support up to 5 participants (excluding hosts) at a time.


When participants access your room, they'll first enter a waiting area. The host must approve their request before they can join the meeting.


2. Instant Meetings


Instant Meetings let you launch a meeting immediately without scheduling it in advance, similar to starting a quick Google Meet session.


This is ideal for coaching calls, consultations, team discussions, support sessions, or any spontaneous meeting that needs to happen right away.



3. Saving Meeting Drafts


When creating an Instant Meeting, you can save it as a draft and start it later whenever needed.


You can create and save multiple Instant Meeting drafts. However, a host can have only one active Personal Room or Instant Meeting running at a time.


As for Scheduled Meeting, it works the same as instant meetings. The only difference is that you can schedule them for a future date.



4. Meeting Type Detection


Meeting types are now assigned automatically based on the number of participants entered during meeting creation.


  • 5 participants or fewer → Meeting is labeled as 1:1

  • More than 5 participants → Meeting is labeled as Group


This applies to both Instant Meetings and Scheduled Meetings. Note that only Elite plan users can add up to 300 participants; the rest can add up to 5.




How to get started using it


Log in to your EzyCourse dashboard and go to Products & ServicesMeetings.

From here, you can create your Personal Room, create Instant Meetings, or Schedule meetings. As a site owner, you can create your personal room through a one-time setup. To do that, click the Create your personal room button.

On the popup, enter the room name. The name you enter here becomes your permanent room URL and will be used for all your personal meeting room sessions. That is, you can't change it later on. Click Create Room to finish.

Once your room is created, you can start using it. To do that, first copy your permanent room URL and share it with the participants.

Now, click the Start Meeting button at the top right. If you'd like to record the session, enable Record this session before joining.

Enter the host name, configure permissions, and click Join Room.

From the participant's end, they need to send a join request to enter the room. Until approved by the host, they'll remain in the waiting room.


[Note: The join request stays valid for 5 minutes. Host needs to accept within the time frame.]

As the host, you can review and approve participant requests directly from inside the meeting room.

In case you’ve accidentally closed your meeting room tab or closed your browser, you can Rejoin from the dashboard again.

To create an instant meeting, click New Meeting -> Start an instant meeting

Enter the number of participants. Based on the participant count, the system will automatically classify the meeting as either a 1:1 or Group meeting.


[Note: Instant & Scheduled Meetings support up to 5 participants. Only Elite plan users can add up to 300.]


You can also enable recording and secured meeting options. And if it's a group meeting, you can also select a suitable server region. Click Create & Start to launch the meeting immediately.

Enter the host name, configure permissions, and hit Join Room.

Once the meeting is created, you can generate an invite link and share it with your participants.

Clicking the Create button will keep the instant meeting as a ‘Draft’. You can save multiple Instant Meeting drafts and Start them whenever.
